About Minor Entertainment Group

Minor Entertainment was created in 2009 to make spectacular family theatre events. Our first production, In the Night Garden Live (nightgardenlive.com), has toured the UK in its own inflatable theatre for eight consecutive summers and has been seen by over 900,000 people.

Our experience of welcoming hundreds of thousands of parents and their young children to our unique live events across the UK has helped us understand what families really need and want before, during and after an event.

We set up and ran our own ticketing and customer service operation for these shows because we couldn’t find anyone who would deliver the level of service we felt parents and their children wanted. Out of this has grown Family Tickets (familytickets.com), a dedicated event information and booking service built on the recommendations of busy parents.

Job Details

2018 is an exciting year for us, as well as the development of Family Tickets and In the Night Garden Live the same creative team will also be developing a brand new show, Bing Live! (bingliveshow.com), to tour the UK.

As we grow, our office needs are growing. We are looking for an efficient and organised Administration Assistant to help us sort it out and support the general administration of our productions and event booking service.

You will enjoy doing multiple tasks at once, be comfortable as part of a team, manage your time well, be a good problem solver and extremely well organised

Responsible to: Managing Director and Executive Producer

Main Tasks and Responsibilities

General Administration

• You’ll ensure the office runs smoothly by answering the phones, sorting the post, maintaining our filing systems, ordering the stationary and making sure the office is kept tidy.
• You will be the first port of call for visitors and clients (we have a contact centre that looks after our show and ticketing customers), making sure they are welcomed and directed to the right member of the team.
• You will support the Managing Director and Executive Producer in scheduling and coordinating meetings, appointments, travel and hotel arrangements.
• You will record, compile and distribute minutes of meetings as required.
• You will prepare documents including correspondence, reports and emails.
• You’ll support our finance team by writing purchase orders and requesting invoices
• You will liaise with our cleaning, security and maintenance companies to maintain a clean and secure office.
• You’ll be willing to complete any other tasks that may be reasonably requested by other members of the team.
• You will make sure we recycle and always have enough coffee!

Production support

• You’ll contribute to the smooth running of our productions by providing admin support to the team, including the Executive Producer and Production Managers.
• You’ll help with the organisation of events, tour opening & closing meals, auditions, rehearsals, interviews and coordinate hotel bookings for production and office staff
• You’ll do research and obtain quotes from suppliers and contractors.
• You’ll make sure we keep records up to date for tour venues so that contract and settlement information is easy to find and efficiently processed.
• You’ll collate venue information including technical specs, venue contact sheets and digs lists so that it’s easily accessible for the touring team.
• You’ll place job adverts and assist with recruitment searches for touring staff, also booking training courses for new staff where needed.
• You’ll carry out other ad hoc administrative tasks as required.

Skills and Experience

• Experience in an administrative and coordinating role
• Experience of researching, analysing and presenting material clearly and concisely in a range of format.
• Highly literate and numerate
• Excellent IT skills including Microsoft Office software packages
• Excellent interpersonal skills and experienced in working with colleagues at all levels of seniority
• Excellent organisational and time management skills and able to work on your own initiative.
• Attention to detail and accuracy, and able to maintain quality when working under pressure and to tight deadlines
• A flexible approach to working and a good team player

Terms and Conditions

Salary: £20,000 – £21,000

Hours: 37.5 per week, Monday to Friday, 9:30am to 6:00pm with a one-hour unpaid lunch break. Occasionally some evening and weekend work may be required.

Location: You’ll be based at our office in London Bridge, although you might occasionally be required to work at different locations.

Probation Period: 3 Months

Notice Period: 1 Month
